Answer
Once you have completed an ML/TF Program and Risk Assessment, you can copy it to create more programs.
Also known as "rolling forward", it provides a quick and easy method to:
- Create a new program for this year; e.g. copying a 2019 Program to create a 2020 Program;
- Pick up the latest risk models, AML Program/Policy template, or CDD Standards
Another common reason to copy a program/assessment is to fix typos or make changes to a published program. Once a program is published it can no longer be changed, updated, or deleted. Essentially, the act of publishing 'locks' the program in order to create an auditable record. You can, however, create a new version of the program by copying the existing program, making your changes to it, and then publishing it.
How to copy a program to create a new one:
- Press the button New AML Program/Policy
- Complete the details in the popup window (Name, Country, Industry)
- Use the Prefill From field to select the program you want to copy
- Press the button Create and Proceed
- The new program is created with all the answers, ratings, and data from the copied program.
Note: Refer below for scenarios where the original data is not copied. - Progress through each page verifying the data is still relevant and updating any that isn't.
Note: The platform requires you to move through each page of the Company and Risk Assessment sections before it can be Published.
Updated Risk Models
Rolling forward your program/assessment automatically applies the latest risk model template. In most cases all answers, ratings, attachments, and other data from the copied program are brought into your new program. However, depending on the nature of the update some data may not be copied.
- New questions will be blank and need to be answered.
- Updated questions will be blank and need to be re-answered as the answers from the program you copied from will not be brought into the new program as they may no longer be relevant.
- Unchanged questions will have all the information from the copied program.
Updated AML Program/Policy
Rolling forward your program/assessment does not automatically apply the latest AML Policy template.
When you reach the AML Program/Policy section you will be presented with a side-by-side view comparing your copied AML Policy (on the left) to the latest AML Policy template (on the right).
Use the blue bar across the top to see a list of the latest changes to the template.
Scroll through the template on the right to reach the updates you want to apply to your AML Policy, and then copy and paste them into your Policy on the left.
Updated CDD Standards
Rolling forward your program/assessment does not automatically apply the latest CDD Standards template.
When you reach the CDD Standards section you will be presented with a side-by-side view comparing your copied CDD Standards (on the left) to the latest CDD Standards template (on the right).
Use the blue bar across the top to see a list of the latest changes to the template.
Scroll through the template on the right to reach the updates you want to apply to your CDD Standards, and then copy and paste them into your Policy on the left.
