Items
Use Items to stay on top of activities required to improve your AML compliance.
Items can be categorised as Actions or Issues and typically outline activities required to be undertaken to close identified compliance gaps.
Creating Items
New items can be created within the Risk Assessment and from Items Management.
To create items from the risk assessment:
- On a risk assessment risk factor page, scroll to the Additional Information section
- Press the New Item button in the Items section
- Complete the details in the Create Item popup window
- Press Create Item to finish.
Note: To link an existing item to the assessment, use the Existing Item button.
To create items from Items Management:
- Open the Items menu and select Items Management
- Press the Create Item button
- Complete the details in the Create Item popup window
- Press Create Item to finish.
Completing the Item Details
Creating a new item entails completing all the mandatory fields (denoted with an asterisk) and pressing the Create Item button.
Required Fields:
- Title - enter a title for the item.
- Type - select the item type - action or issue.
- Status - defaults to "Open" and can be changed to In-Progress, On Hold, or Closed.
- Priority - set the priority for the item.
- Start Date - defaults to today's date.
- Due Date - select a due date
Note: "Action" items appear in the compliance calendar according to their Due Date - Owner - defaults to the user creating the item and can be changed to any active user in the company.
Note: The Owner is notified by email when the item is created if different from the creator.
Optional Fields:
- Reminders 1/2/3 - select when to send a reminder email to the Owner.
- Attachments - attach supporting documentation
- Description - enter a description for the item, such as the actions required
- Resolution - enter a resolution for the item when it is ready to be closed.
Working with Items
Items can be viewed and updated within the Risk Assessment and from Items Management.
In the risk assessment
- On a risk assessment risk factor page, scroll to the Additional Information section
- Find the linked item you need
- To unlink the item press the Unlink button
- To view item details click on the item number, e.g. A-10
- To change item details press the Edit button, make the changes and press the Update button.
In the Items Management
- Open the Items menu and select Items Management
- Use the filters to find the item you need
- To view item details click on the item number, e.g. A-10
- To change item details press the Edit button, make the changes and press the Update button.
Note: When the Title, Priority, Description, or Owner of the item is updated, the Owner receives a notification email. - To bulk update multiple items press the Bulk Update button and follow the prompts.
Compliance Calendar
The compliance calendar displays Action items according to their due date.
